Volunteer terms - ESC volunteering in Gliwice

These terms apply to every volunteer within our ESC Quality Label 2026-2027 project. You sign them together with the task and learning agreement before your activities start.

Time and attendance

Activity is about 34 hours per week over 5 days, including language learning, within the ESC maximum of 38 hours.
2 days of paid leave per month, taken in agreement with the coordinator.
Absence or sickness must be reported the same day, before activities start, to the volunteer coordinator through the agreed channel.
Unexcused absences lead to a written warning and, if repeated, may end the placement.

Accommodation

Accommodation is provided by the foundation and used under signed house rules (cleanliness, quiet hours, care of the space).
No overnight stays of third parties.
The volunteer is responsible for damage caused by fault or negligence; the condition is recorded on move-in and move-out.
On early departure, the accommodation is vacated and keys returned within 3 days.

Conduct and content

A code of conduct is signed at the start: respect, non-discrimination, no harassment, ESC values.
No alcohol or other substances during activities; the accommodation is covered by the house rules.
The volunteer's image is used in promotion only with written, revocable, GDPR-compliant consent.
Content and materials created within the project belong to the foundation; the volunteer is credited as author.

Obligations

Before starting, the volunteer signs a task and learning agreement (tasks, hours, goals).
Keeping the e-journal and attendance records is mandatory (needed for Youthpass and project reporting).
ESC portal registration and PRN, and insurance enrolment, are mandatory before starting and completed together with us.
A confidentiality and GDPR clause is signed (participant data and internal information).

Ending the placement and conflicts

The volunteer may resign with 2 weeks written notice.
The foundation may end the placement for serious breaches, repeated unexcused absences, or safety and GDPR violations.
Minor issues: one written warning before the placement can be ended; serious breaches (safety, GDPR, discrimination) may end it immediately.
The volunteer coordinator is the single point of contact for questions and conflicts.

F. Financial conditions

You receive monthly pocket money of 6 EUR per day.
Because we provide accommodation but not meals, you also receive a food allowance of 6 EUR per day.
Together this is about 12 EUR per day, around 360 EUR per month, paid monthly for the whole duration of your placement.
Provided in addition and at no cost to you: accommodation, travel reimbursed at ESC rates, full ESC insurance, Online Language Support, and a Youthpass certificate.
